Troubleshooting Email Issues
Email problems can have several causes. Work through these steps to identify and fix the issue.
Cannot Send or Receive Emails
Check 1: Verify Your Email Settings
Ensure your email client is configured with the correct settings:
- Incoming (IMAP): mail.yourdomain.co.za – Port 993 (SSL)
- Outgoing (SMTP): mail.yourdomain.co.za – Port 465 (SSL)
- Username: your full email address
Check 2: Test in Webmail
Log in to webmail at https://yourdomain.co.za/webmail. If email works in webmail but not in your email client, the issue is with your client settings.
Check 3: Check for Bounce-Back Messages
If you receive a bounce-back email when sending, read the error message carefully. Common reasons include:
- The recipient’s email address does not exist
- Your server’s IP is blacklisted
- The recipient’s mailbox is full
Email Going to Spam
If your emails are being marked as spam by recipients:
- Ensure you have an SPF record set up for your domain in cPanel Zone Editor
- Consider adding DKIM and DMARC records
- Avoid spam trigger words in subject lines
Mailbox Full
If your mailbox is full, new emails will be rejected. Log in to cPanel ? Email Accounts ? Manage ? increase your mailbox quota or delete old emails.
