This policy explains how Web Design Hosting SA handles personal information when you use this website, contact us, or use our hosting, domain, web design and SEO services. We process personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Web Design Hosting SA is a business operated by Kevin Poorter as a sole proprietor, and is the responsible party for your personal information. Our Information Officer is Kevin Poorter.

What we collect

Enquiries and quote requests: your name, business name, email address, phone number, the service you are interested in, your budget and the message you send.
Clients: the details needed to provide and bill your services, such as contact and billing details, the domains and services you order, and support tickets. Domain registrations also require registrant details, which registries publish or hold according to their own rules.
Technical information: to stop spam and abuse, our contact form stores a one-way hashed version of your IP address (never the address itself) for a short rate-limit check. Our hosting provider and Cloudflare process standard server logs to keep the site secure.
Newsletter: if you sign up, your email address, held by our email newsletter provider.

This website does not use advertising or tracking cookies. Our client area (billing.webdesignhostingsa.co.za) uses essential cookies to keep you logged in.

Why we use it

To answer your enquiry and send you a quote (you consent when you submit the form).
To provide, bill and support the services you order (to perform our contract with you).
To keep our website, servers and clients safe from fraud and abuse (our legitimate interest).
To send you our newsletter, only if you opted in. You can unsubscribe at any time.
To meet legal and tax record-keeping duties.

We do not sell your personal information, and we do not use it for direct marketing without your consent.

Who we share it with

We share personal information only where needed to provide our services, with operators who are bound to keep it confidential and secure:

our hosting and data centre providers, in South Africa and Germany;
domain registrars and registries (for example the ZA Central Registry for .co.za domains) when you register a domain;
payment providers that process your payments;
Cloudflare, which delivers and protects this website;
our email newsletter provider, if you subscribe.

Some of these operators store information outside South Africa (for example in Germany or the United States). Where that happens we rely on providers that are subject to laws or agreements offering protection comparable to POPIA.

How long we keep it

We keep enquiries for up to 24 months unless you become a client. Client and billing records are kept for as long as you use our services and then for the period the law requires (generally five years for financial records). We delete or de-identify information when we no longer need it.

How we protect it

Our website and client area use encrypted connections (https). Access to client information is limited to people who need it to provide your services, and our servers are protected with firewalls and malware scanning.

Your rights

Under POPIA you may ask us what personal information we hold about you, ask us to correct or delete it, object to us processing it, and withdraw consent you gave. Email info@webdesignhostingsa.co.za and we will respond within a reasonable time. If you are not happy with our response, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

Changes to this policy

We will update this page if the way we handle personal information changes, and show the new date at the top.
